Administrative Professional - Nairobi, Kenya (Onsite)

Responsibilities

  1. Office & Administrative Support
  2. Support the coordination of day-to-day office operations for the Nairobi team to ensure efficiency and compliance with company policies.
  3. Assist with scheduling meetings, coordinating team activities, and managing shared calendars.
  4. Track and follow up on action items arising from meetings and internal discussions.
  5. HR & Team Coordination
  6. Provide administrative support to the Global HR team while supporting HR-related activities for the Nairobi office.
  7. Assist with onboarding coordination for new team members, including documentation and internal communication.
  8. Support internal HR processes such as documentation management and staff coordination activities.
  9. Logistics & Travel Coordination
  10. Assist with domestic and international travel arrangements for team members, including booking coordination, schedules, and required documentation.
  11. Support preparation and submission of travel and administrative expense documentation in line with company policies.
  12. Records & Documentation
  13. Maintain organized filing systems and document control processes for administrative and HR records.
  14. Assist in maintaining accurate records of office assets, equipment, and supplies.
  15. Support the creation, updating, and management of administrative databases and documentation.
  16. General Operational Support
  17. Provide administrative coordination support to teams in Nairobi as required.
  18. Support preparation of reports, meeting materials, and internal documentation.
  19. Maintain professionalism and confidentiality when handling sensitive HR and organizational information.

Qualifications

  • Bachelor’s degree in Business Administration, Office Administration, Human Resource Management, or a related discipline.
  • At least 2 years post-graduation experience.

Requirements

  • Proficiency in Microsoft Office and Google Workspace tools.
  • Strong organizational and coordination skills.
  • Attention to detail and accuracy.
  • Professional communication and interpersonal skills.
  • Ability to work with cross-functional and global teams.
  • High level of discretion when handling confidential information.
  • Willingness to learn and grow in a structured corporate environment.
